They parse your resume into structured data, match keywords against job requirements, and rank candidates before a recruiter ever sees your application.
Finding the Right Keywords
The best keyword source is the job description itself. Read it carefully and identify: required skills (usually in a "Requirements" section), preferred qualifications, tools and technologies mentioned, and industry-specific terminology. Where to Place Keywords
Distribute keywords naturally throughout your resume: professional summary (2-3 key terms), work experience bullets (in context, not just listed), skills section (exact matches), and certifications section. Don't stuff keywords — ATS systems are sophisticated enough to penalize unnatural repetition. Each keyword should appear 1-3 times maximum.
Formatting for ATS Compatibility
ATS-friendly formatting rules: Use standard fonts (Arial, Calibri, Times New Roman). Avoid tables, columns, text boxes, and images. Use standard headings: "Work Experience" not "Where I've Made an Impact." Save as PDF (most modern ATS handle PDFs well). Don't put critical information in headers or footers. Use simple bullet points (•), not fancy symbols.
Common ATS Mistakes
Biggest ATS mistakes: using creative resume templates with columns and graphics (they break parsing), saving as .docx when PDF is accepted, using abbreviations without spelling them out (use "Search Engine Optimization (SEO)" first, then "SEO"), putting contact info in headers (many ATS can't read headers), and submitting without tailoring keywords to the specific job post.
